I've recently been given the task to seek grant opportunities. In the past, several individuals from various departments at our station applied for grants. I'm part of the Development team handle radio/tv underwriting), so searching for grants is not the total focus of my job responsibilities.

I've started putting some procedures in place that will help me stay organized -- scheduled recurring meetings with key personnel; set up computer folders for elements frequently asked for in grant applications.

Any thoughts on other procedures that I could implement?

Dear ddunham,

There is no shortage of good advice addressing your good question of how to create procedures to guide the grant administration process. Everyone will have an opinion. In my view, it comes down to trying different approaches until you find one that makes you the most effective. Ultimately, as in every other field, time management, prioritization & organization are key. Grant seeking/writing is not unique in this regard.

With that being said, there is of course a need to follow a specific chronology & related steps. Below are a couple of links to good information. The link to the University of Georgia I did not select for any particular reason other than it does a nice job of laying out in a concise & visually pleasing fashion the grant seeking process. As you may know if your station is a university license, many other universities call their grants office, the Office of Sponsored Programs, which is traditionally responsible for facilitating and tracking grant activity (including budgets/regulations) through the institution.

In my view, it comes down to developing some key practices & habits, including:
(1)-cultivating & maintaining good partnerships beginning with your internal partners & colleagues, (2)-understanding & prioritizing your station's internal & external goals, (3)-being honest with yourself & colleagues when evaluating grant opportunities. This will help you to determine what grant opportunities to pursue and the ones to pass up resulting in a good match, and (4)-respecting & leveraging internal resources.

Thanks so much for your input! I greatly appreciate the links and will check them out.

BTW, I'm from WKAR located at Michigan State University. We are in process now of applying for a Michigan Cultural grant for our BackStage Pass series (featuring Michigan musicians).

You're right, as a university licensee, any grant over $3,000 has to go through the MSU Contracts and Grants office. Our business office has been helpful filling out needed financial info and will facilitate submitting the application to the university grants office.

Sorry I didn't include more info about myself in the original post. I see there's a field for a signature, but wasn't sure how to set it up.

I suggest a Master Grants Calendar with deadlines for prospects. I am working on creating a grants calendar that could be shared with others, google, for example. Then key members of the team, can see ahead to what is coming up.

I run a list of prospects with their interest areas, eg, Music, News, Science, etc. That I present to our board four times a year, asking them to provide assistance, with letters of support, introductions, etc.

Having clear procedures for establishing when and under what circumstances a request for foundation funding might be in order for a given initiative might be helpful.
